Have your next event at a Scout Hall!


Our Group is run by volunteers and our email inbox is checked every few days.  
We require a minimum two weeks advance notice to arrange a hall hire.  

Tuddenham Hall is a great space for holding your next meeting, event or party.  It is surrounded by Coburg Lake Parklands and Merri Creek reserve making it an ideal location for a wide range of activities and functions. Plus your hire fees go direct to our not for profit Group, so hiring our Hall will support local kids in their continued learning and development.

With recently upgraded kitchen and bathroom facilities, tables, chairs and an abundance of flexible space, its an ideal place to hold a function or event.

We're conveniently located near the heart of Coburg - less than 5 minutes walk from Route 19 Trams on Sydney Road (Stop 38 Carr St), about 10 minutes walk from Batman Station on Upfield Line, and less than 2km from the Coburg Sydney Rd Shopping precinct.


Our hall includes:

  • An accessible 15m x 9m multi-use space with high ceilings and loads of natural light.
  • Flexible seating for up 80 and 9 tables available upon request at no charge.
  • Brand new accessible (DDA compliant) and unisex bathrooms
  • Recently upgraded kitchen equipped with professional 90cm stove/oven, microwave, dishwasher and coffee/tea making facilities (urn is also available upon request).
  • Combustion Heater for those cold winter months.
  • Local trees, high ceilings and multiple doors take the edge off the heat in summer.
  • Plenty of on-street parking with no time limits, and no parking meters!
  • Motion sensing LED floodlights at all external entrances for night hires.
  • Equipped with emergency exits, emergency lighting, smoke alarms, fire extinguishers and a fire blanket for safety.
  • Hall is equipped with a hand sanitiser station.

KEY POINTS

Note that the hall is not available during school terms on the following days/times due to Scout Group gatherings and/or recurrent hall hires:

  • Tuesday evenings after 6pm
  •  Wednesday evenings after 6pm
  • Thursday evenings after 6pm

What can the Hall be used for?

We limit the Hall to the following uses:

  • Sports, dance, yoga, martial arts classes
  • Meetings, including community groups and team offsite days
  • Daytime parties (eg: birthdays, baby showers, religious events etc)
  • Training course or classes

Scouts Victoria prohibits the hire of the hall for commercial or business ventures not described above.

Due to the Hall's proximity to residential housing, and Scouts Victoria policy, we do not hire out the hall for evening parties such as 18th and 21st parties.  We like our neighbours!

The decision to hire the Scout Hall is at the sole and absolute discretion of the Group Committee and/or Group Leader of 1st Coburg Scout Group.

How many people can the Hall accommodate?

The hall can easily seat around 100 people for a meeting and around 80 at tables.

                                    HALL HIRE RATES

Hall hire fees are as follows:

  • Daytime: $30 per hour (minimum of 4 hours or $120) to a maximum of $250 per day (8am-6pm)
  • Friday/Saturday nights: $350 subject to approval of hiring purpose.(6pm - 12 midnight)
  • Sunday nights and weeknights - when hall is not used by Scout gatherings: $30 per hour (minimum of 4 hours or $120)

Security deposit: $250 - This is required for all hall hire applications.  This covers key loss, minor liquidated damages, failure to clean/sanitise hall or other breaches by the hirer resulting in repairs.

Recurring hall hires

For organisations requiring ongoing hires, we offer discounted rates based on hours used. The more hours, the cheaper the rate.

For recurring hires, you will be required to pay one school term in advance.

Community/Not for Profit organisations

We offer the hall for registered not for profit organisations at heavily discounted rates. Please contact the Group for these rates. You will be required to confirm your community/not for profit/charity status.

When can I gain access for setting up?

This depends on whether there are existing bookings for the same day. When available, extra time can be booked for setting up as outlined below. The key will be handed over at a mutually convenient time on receipt of the $250 security deposit and payment of the applicable hall hire rate. Talk to us to see if we can meet your needs.

Can I book extra time so I can set up before my function?

Yes, if the venue is available. To make sure you have time to set up, pack up and clean ensure you allocate this time in your hire period.

  1. email 1stcoburgscoutsgroup@gmail.com to check the availability of dates. We will confirm if the hall is available or what alternative dates/times it may be available if your first preference is not available.
  2. Arrange a mutually convenient meeting time at the hall to discuss the hall hire with a completed and signed Casual Hall Hire Agreement in accordance with the rates and requirements set out in this webpage.  Complete the red sections only.  (this may be also emailed in advance to: 1stcoburgscoutsgroup@gmail.com)
  3. Pay the fee by PAYID/OSKO or internet banking (preferred) as follows:

            If you wish to pay by cash, this must be done before or when collecting key.  NOTE: 1st                Coburg Scout Group no longer accepts cheques.

A security bond is due at time of key collection  and can be paid separately (see security bond in Frequently Asked Questions below).


                       FREQUENTLY ASKED QUESTIONS

Are there any cancellation fees if I choose not to use the Hall?

Yes. A $50 cancellation fee is charged up until 2 weeks prior to the booking date. After this time, the full hall hire fee is non-refundable.

Is there a security bond/deposit?

Yes. A refundable $250 security bond is required in order for you to receive the key. This bond is forfeited if the key is lost, if you damage property owned by the Scout Group or fail to clean/sanitise the hall prior to leaving the hall. 

This must be paid separately from the hire fee at key collection by cash EFT (details are above).

When am I required to return the key?

By 10.00am the next morning unless prior arrangements are made.

Is smoking allowed?

NO - Smoking is not permitted anywhere on the premises of the Scout Hall. Furthermore, butts are not to be discarded around the Hall (the land around the Hall is Council parklands).

Am I allowed to decorate the walls and the structure?


STRING AND/OR BLU-TAC MUST ONLY BE USED as tapes can damage the paint work. You must remove all decorations or signage before vacating the hall. You may be responsible for cleaning or repairs if any items are left behind or damage is sustained as a result of your hall hire.

NO SIGNAGE IS PERMITTED TO BE AFFIXED TO THE EXTERIOR OF THE SCOUT HALL 

Are plates and glasses provided?

The kitchenette has some glasses and plates, but you are advised to bring your own for larger groups. 

The Group also has good quality melamine plates, bowls, mugs and cutlery for up to 50 people - these are available to hire - ask when enquiring as these are prioritised for Group camping and events.

What tables and chairs are provided?

There are trestle tables seating 8-10 and 50+ stackable plastic chairs/bench seats all up to cater for around 80 people. Please let us know what your needs are so we can have them available for your event.


Am I required to clean the hall?

Yes. You are required to clean the Hall and leave it as found. 

  • All balloons, decorations, etc must be removed, including any adhesives/string used. 
  • Any kitchen items used must be washed and stored away in the cupboards provided, including items washed in the dishwasher
  • Tables, chairs and any benchtops must be wiped clean (using disinfectant spray) should be restacked into the furniture cupboard. 
  • Bathrooms must be cleaned and surfaces wiped down with disinfectant
  • All foodstuffs need to be removed from the kitchen, including from the refrigerator. 
  • Floors must be swept (and mopped if necessary - WITH ONLY MINIMAL WATER to reduce damage to timber). 
  • Brooms, bucket, mop and a cleaning goods are provided  

NOTE: Cleaning extends to any litter or cigarette butts that may have been dropped outside the entrance.

Am I required to remove my rubbish?

Yes, you are required to remove all rubbish from the premises to your own bins. No rubbish is to be left on the kerb side. We have limited garbage storage and require these bins for our groups.  We recommend you bring a few sturdy garbage bags with you.


Is catering available?

While the Group only hire the space, you are welcome to use the stove/oven, fridge, dishwasher, microwave, kettle and urn so long as they are cleaned after use and not damaged.

Alternatively you may arrange your own catering through a multitude of local places on Sydney Rd.

Do you have audio-visual equipment available?

Yes, We are currently piloting hiring out a short throw data projector for $30 per hire.  Speak to us about your requirements.  Our HDMI/VGA compatible projector delivers an image in excess of 100 inches. It's Ideal for computer and DVD/Bluray connectivity.  Alternatively if you have your own projector there is a roll-down screen available free of charge.

Do you provide a PA system?

No, there is no PA system in the building, nor do we have a piano on site.

How much noise am I allowed to make?

The Scout Hall is located in a local neighbourhood area.  Noise and music are to be kept to moderate levels and contained inside the hall. Hirers are required to be considerate toward our neighbours when returning to their cars or accessing taxis.

What happens if damage occurs to part of the hall or supplied equipment?

You MUST contact 1st Coburg Scouts (using the contact details provided) advising exactly:

  • what has occurred
  • what was damaged
  • whether the damage resulted in injury within Scout premises
  • If there is an ongoing risk to property or personal safety

The Group may request the hirer to repair/replace/make good any damages caused by you or your guests.  Your liability extends beyond the forfeiture of your key deposit and the Group and/or Scouts Victoria may initiate action to recover liquidated damages where necessary.
